Managing Your Receivables & Collections

TRUX 7 Haul-IT & Weigh-IT provide tools and reports which can help you manage your receivables and collection functions. Our software includes Outstanding Receivables Reports, Customer Notes, Overdue Letters, Statements, Account Suspension, and Active Credit Monitoring: All designed to make your receivables easier to manage.

Outstanding Receivables Reports

TRUX customers have access to two reports that provide them with a list of outstanding receivables. The first report is the Aged Trial Balance, which provides a listing of outstanding receivables by Customer and Aging Categories. The second report is the AR Ranking Report which again provides you with a listing of outstanding receivables by Customer and Aging Category. However, the AR Ranking Report also gives you the flexibility to rank accounts in descending order by outstanding balance. Your collections person can focus on Customers that owe the most amount of money. Also you can run the report on Customers whose account aging is over a certain number of days; for example, 60 days. Your collections person can focus on accounts whose receivables may be getting out of hand.

Customer Notes

Based on these two reports, your collections staff can contact your Customers using several different methods. If your employees are contacting Customers by telephone, they can store the details of their conversations using the Customer Notes program. Customer Notes allow you to record specific instructions, such as “Payment is being mailed next week”. The collections staff can also assign a Follow-Up Date on the Customer Note as a reminder for them to either contact the Customer again or to check for receipt of payment on a specific date. The Customer Note Follow-Up Listing provides a convenient method of identifying Customer Notes that require a follow up within a specified date range and have been assigned to a specific collection agent. Once the item has been resolved, the user can remove the Follow-Up Date on the Note.

Overdue Letters

TRUX provides an additional method of contacting overdue accounts; the ability to generate up to four different customized Overdue Letters. You can send out letters based on the age of outstanding receivables, in Report Center, or for a specific Customer Account, in Account Inquiry. You can configure the contents of your Overdue Letters so that the older the outstanding receivable, the stronger the tone of the letter. To save on postage you can email your letters directly from the Overdue Letter menu as long as there is a valid email address in the Email Invoices To field on the Details Tab of the Customer Level.

Statements

You can generate Statements for your Customer Accounts. Statements contain a list of Outstanding Invoices and corresponding amounts. You can generate Statements for Customers whose account aging is over a certain number of days, for example, 60 days, to focus on those late payers. To view the effectiveness of your collections you can run the Cash Receipts Aged Analysis which analyzes your collections efforts by Aging Category.

Suspending Delinquent Accounts

Preventing Customers from continuing to receive service, while they have an outstanding amount, is as easy as making use of the Suspension function within TRUX 7. You can suspend Customer Accounts individually, in Customer Explorer or in Account Inquiry, or globally, in Global Suspend. Global Suspend can be used to select accounts based on the age of their outstanding receivables. Once a Customer is suspended, their account (All Sites and Services) will be flagged as suspended. If anyone tries to access the Customer Account, using Customer Explorer or Account Inquiry, they will be prompted with a message that the Account is suspended. Also, if anyone attempts to Schedule a Call-In for a suspended account, TRUX 7 will display a warning message indicating that the account is suspended. Finally, if an account is permanently routed, the account will be flagged on the Route Sheet as SUSPENDED, so your driver does not inadvertently provide service to them.

If a Customer is on suspension and a payment is posted to their account; the account will appear on the Post Cash Log in the Non Payment Exceptions section. At this point the collections agent can remove the suspension from the Customer Account using Account Inquiry or Customer Explorer.

Active Credit Monitoring

TRUX provides Credit Warning and Credit Limit capabilities to help control On-Call Pick Ups and Extra Pick Ups. If a call is scheduled for an account which exceeds the account’s Credit Warning amount, TRUX 7 will notify the user with a warning. The user can bypass the warning and still schedule the call, but the warning can serve as a reminder to mention the receivables situation to the Customer. If a call is scheduled for a Customer which exceeds their Credit Limit, the user cannot schedule the call until either the Credit Limit is changed or a payment is posted to the Customer’s account.
